ROLE OVERVIEW
The Finance Assistant provides essential accounting and clerical support to maintain high-quality financial records across Malaria Consortium’s field and country offices. The incumbent is responsible for the systematic filing and archiving of monthly financial data, processing payments, and ensuring strict adherence to the organization’s financial manuals and donor requirements.
KEY ACCOUNTABILITIES
1. Finance & Accounting Functions (50%)
- Verification: Review all transactions for completeness of documentation and necessary approvals.
- SMC Support: Review attendance databases and prepare payment schedules for Seasonal Malaria Chemoprevention (SMC) personnel.
- Voucher Management: Prepare payment vouchers (PVs) with correct cost classification and coding.
- Compliance: Scrutinize all payment requests, Travel Authorization Forms (TAFs), and Purchase Request Forms (PRFs) to ensure they meet MC standards.
- Inventory: Monitor and maintain the stock balance of pre-printed financial documents (vouchers, receipts, forms).
2. Operations & Documentation (30%)
- Archiving: Lead the scanning, filing, and archiving of all finance documents to ensure they are safe and easily retrievable.
- Data Transit: Track payment documents sent to or received from the Country Office.
- Organization: Maintain an orderly and professional finance department environment.
3. Supplier Management (15%)
- Track all incoming supplier and vendor invoices.
- Prepare invoice payments and route them for approval by authorized personnel.
4. Audit & Asset Support (5%)
- Assist in internal and external audits by retrieving required documents.
- Support the finance team in asset spot checks and physical verifications.
PERSON SPECIFICATION
- Education: Bachelor’s Degree or HND in Accounting, Finance, Business Administration, or a related Social Science field.
- Experience: * Minimum of one (1) year post-graduation experience in a finance team.
- At least 6 months specifically in a finance/accounts support role.
- Desirable: Prior experience working with an International NGO (INGO).
- Technical Skills: * High proficiency in Microsoft Excel.
- Knowledge of NGO donor financial reporting requirements.
- Desirable: Working knowledge of professional accounting software.
