ROLE OVERVIEW
Under the direct supervision of the Line Manager, the incumbent will be responsible for the daily administrative workflow of the Directorate. This includes the systematic recording of correspondence via the SAP ECM Module, document digitization (scanning/photocopying), and the efficient dispatch of all internal and external communications. The role further involves maintaining the Directorate’s database and providing essential logistical support for meetings and workshops.
KEY ROLES & RESPONSIBILITIES
- Mail & Correspondence: Record and dispatch all incoming and outgoing mail/documents; manage electronic mail logs within the ECM system.
- Database & Filing: Update and maintain both manual and electronic filing systems to ensure high-quality, accessible records.
- Attendance & Leave Management: Prepare weekly and monthly summary reports of staff attendance registers and maintain the Directorate’s staff leave roster.
- Logistics Support: Print, photocopy, and organize documents for workshops and meetings; assist the Office Manager with pre-meeting activities.
- General Administration: Carry out any other duties as assigned by the supervisor to support the Directorate’s mandate.
ACADEMIC QUALIFICATIONS AND EXPERIENCE
- Education: West African School Certificate (WASC) or equivalent secondary school leaving certificate.
- Experience: Minimum of two (2) years of demonstrated experience in an office environment (as an intern, entry-level clerk, or receptionist).
- Technical Skills: Practical experience in routine clerical tasks; ability to quickly assimilate standard office routines.
- Knowledge: Basic understanding of administrative processes and procedures relevant to a regional or international organization.

- Teamwork & Adaptability: Ability to understand your role within a team and adapt quickly to new workflows.
- Communication: Proficiency in oral and written expression in one of the ECOWAS official languages (English, French, or Portuguese). Proficiency in a second language is an advantage.
- Professionalism: Ability to interact with clients honestly, avoid conflicts of interest, and handle difficult situations with a customer-friendly approach.
- Diversity & Inclusion: Knowledge of multiculturalism and the ability to incorporate gender perspectives into daily work.
- Technical Proficiency: Strong ICT skills, including the ability to use technology and SAP-related modules as required.
- Organization: Excellent record-keeping skills and the ability to identify the urgency of different tasks to meet deadlines.
