An exciting opportunity exists within a reputable regional organization for the position of Office Manager (Bilingual Secretary) based in Abuja, Nigeria. The successful candidate will play a key role in ensuring the smooth and efficient running of office operations while providing high-level administrative and secretarial support.
About the Role
Under the supervision of the Line Manager, the Office Manager will manage daily administrative activities, coordinate schedules, handle communications, and support internal and external stakeholders. The role requires a highly organized, proactive, and responsive professional capable of managing competing demands in a fast-paced environment.
Key Responsibilities
- Manage the supervisor’s diary, appointments, and schedule
- Receive and welcome visitors, handle calls, and manage correspondence
- Organize meetings, prepare documents, and follow up on administrative tasks
- Maintain proper filing systems, including e-archiving using ECM software
- Track and manage incoming and outgoing mail and documents
- Provide administrative support to colleagues and contribute to team objectives
- Perform additional tasks as assigned by the supervisor
Requirements
- Minimum of HND or equivalent in Secretarial Studies, Business Administration, or a related field
- At least 6 years of relevant experience in administrative and secretarial roles
- Strong knowledge of administrative procedures and office management systems
- Proficiency in Microsoft Office and electronic document management systems (ECM)
- Excellent organizational, communication, and multitasking skills
- Ability to work independently and demonstrate sound judgment
Language Requirement
- Fluency in at least two ECOWAS official languages: English, French, or Portuguese (written and spoken)
- Knowledge of a third language is an added advantage
Age Requirement
- Applicants must be below 35 years old (except internal candidates)
