As a Supply Assistant, you are the link that ensures these essential resources move seamlessly from vendors to the frontline, upholding the integrity of our mission in Northeast Nigeria.

Job Summary

The Supply Assistant provides critical operational support to the procurement and logistics team, managing small-scale acquisitions and tracking deliveries. Your primary goal is to ensure that all goods meet ACF’s high standards of quality and that every transaction is documented transparently within our digital supply chain systems.

Core Responsibilities

Procurement & Delivery Management

  • Strategic Sourcing: Execute small-scale procurement requests under the guidance of the Supply Specialist, ensuring the best value for humanitarian resources.
  • System Integration: Utilize the LINK logistics platform to initiate requests, track order status, and maintain real-time visibility of the supply chain.
  • Quality Assurance: Conduct rigorous physical inspections of all incoming goods to verify that quantities, quality standards, and accompanying paperwork align with organizational requirements.
  • Issue Resolution: Promptly identify and report any discrepancies or quality concerns to senior management to prevent delays in program delivery.

Financial Liaison & Vendor Relations

  • Invoice Auditing: Review supplier invoices for accuracy and completeness before transitioning them to the finance department for settlement.
  • Payment Coordination: Serve as the point of contact for vendors, scheduling payment appointments in alignment with treasury hours and cheque-signing protocols.
  • Partnership Standards: Actively communicate Action Against Hunger’s values to suppliers, ensuring they understand and comply with our Gender, Safeguarding, and PSEA policies.

Information Flow & Archiving

  • Stakeholder Communication: Provide regular updates to the logistics and program teams regarding the status of their supplies to facilitate better field planning.
  • Digital & Physical Record-Keeping: Maintain a comprehensive and organized archive of all procurement files (contracts, delivery notes, and invoices) in both electronic and hard-copy formats.
  • Warehouse Synergy: Coordinate closely with the warehouse team to prepare for incoming shipments and ensure the smooth offloading and storage of goods.

Candidate Requirements

  • Educational Foundation: A Bachelor’s Degree or Higher National Diploma (HND) in Supply Chain Management, Logistics, Business Administration, or a related field.
  • Professional Experience: At least 2 years of experience in administrative or operational roles, with specific exposure to supply chain or procurement functions.
  • Technical Skills: Strong proficiency in Microsoft Office (Excel and Word) and the ability to quickly learn specialized logistics software.
  • Soft Skills: A collaborative team player with excellent organizational skills and a high degree of professional integrity.
  • Contextual Awareness: Ability to work effectively in the fast-paced and sensitive environment of Maiduguri, Borno State.
