Job Summary
TechnoServe is seeking a meticulous and proactive Senior Project Administrator to lead the operational and logistical heartbeat of our Kano and Lagos state offices. In this role, you will be the primary engine behind office efficiency, managing everything from complex travel itineraries to intricate procurement cycles. Your contribution will ensure that our program teams have a seamless environment to execute life-changing projects across Nigeria.
Core Responsibilities
Logistics & Global Mobility
- Travel Coordination: Manage end-to-end domestic and international travel for staff, including flight bookings, accommodation, and the processing of visas and work permits in line with national regulations.
- Vendor Partnerships: Collaborate with the operations department to source, vet, and onboard high-quality travel agencies, vehicle hire services, and hospitality partners.
- Fleet Management: Oversee the maintenance and documentation of the organization’s vehicle fleet, ensuring safety standards, route monitoring, and speed limit compliance are strictly followed.
Integrated Office Management
- Facility Oversight: Monitor the consumption of office utilities and supplies, ensuring that generators are maintained, diesel levels are tracked, and health and safety standards are met daily.
- Asset Integrity: Maintain an accurate and up-to-date registry of all organizational assets, ensuring every item is correctly tagged and functionally sound.
- Financial Stewardship: Manage office petty cash with high integrity, overseeing daily disbursements and preparing monthly fund reconciliations with exhaustive documentation.
- Staff Supervision: Provide leadership and operational guidance to support staff, including drivers and cleaning personnel, to maintain a premium working environment.
Strategic Procurement
- Needs Assessment: Partner with Project Managers to identify resource requirements and initiate purchase requests within the organizational system.
- Vendor Finance: Ensure the punctual processing of vendor invoices and conduct regular account reconciliations to maintain healthy supplier relationships.
Required Qualifications & Experience
- Academic Foundation: A Bachelor’s degree in Business Administration, Public Administration, Office Management, or the Social Sciences.
- Proven Experience: * A minimum of 2 years of experience for degree holders.
- OR at least 4 years of high-level administrative experience in lieu of a specific degree, ideally within an international NGO environment.
- Technical Edge: Prior experience or professional certification in Procurement is considered a significant asset.
- Language Proficiency: Full professional fluency in English (both written and oral) is mandatory.
- Mobility: Flexibility and willingness to travel between project sites as required.
