Job Summary
The Procurement and Logistics Coordinator is responsible for overseeing the end-to-end supply chain and operational support systems for our regional projects. Your primary mission is to ensure that every purchase and movement of goods is cost-effective, transparent, and perfectly aligned with our humanitarian objectives.
Key Responsibilities
Strategic Sourcing & Procurement Excellence
- Cycle Management: Lead the complete procurement lifecycle, from initial requisition to the final delivery and approval of goods, ensuring zero delays in project implementation.
- Vendor Partnerships: Identify and vet reliable suppliers, lead complex negotiations to secure high-quality goods at the best value, and conduct regular performance audits.
- Planning & Forecasting: Work closely with program teams to develop and execute proactive procurement plans, minimizing emergency purchases and optimizing budget utilization.
- Compliance & Documentation: Maintain an airtight trail of digital and physical records, ensuring every transaction adheres to SHA global standards and donor regulations.
Operational Logistics & Travel Coordination
- Corporate Travel: Manage all domestic and international travel logistics for staff and consultants, prioritizing cost-efficiency and traveler safety.
- Event Oversight: Supervise the logistical arrangements for workshops and conferences, ensuring venue selection and services reflect our commitment to value for money.
- Asset & Fleet Management: Oversee the coordination of vehicles and drivers, ensuring that program transport is reliable, safe, and professionally managed.
Integrity, Safeguarding & Community Accountability
- Ethical Standards: Uphold a zero-tolerance policy regarding fraud and corruption, ensuring total transparency in all financial dealings.
- Community Feedback: Support the establishment of accessible complaint and response mechanisms (CFRM) so that the people we serve can provide feedback on our operational conduct.
- Inclusion Advocacy: Ensure that our procurement processes consider gender mainstreaming and the inclusion of people with disabilities.
Candidate Requirements
- Educational Foundation: A University Degree in Supply Chain Management, Business Administration, Operations, or a related field.
- Professional Track Record: Minimum of 4 years of hands-on experience in procurement or logistics, with a strong preference for those who have worked within an International NGO (INGO).
- Technical Mastery: Deep understanding of inventory management systems, market research techniques, and procurement software.
- Soft Skills: Exceptional negotiation abilities, a high level of organizational discipline, and the ability to thrive under the pressure of tight humanitarian deadlines.
