The Office Assistant position at MSI Reproductive Choices is essential to maintaining an organized, clean, and efficient office environment that supports service delivery and staff productivity. This role contributes directly to the organization’s mission of expanding access to quality sexual and reproductive healthcare across Nigeria.
Job Summary
The Office Assistant will provide administrative, clerical, cleaning, and store support to ensure the smooth daily operations of MSI offices in the assigned regions. The role combines office assistance, cleanliness management, store activities, and basic documentation to support program implementation and staff efficiency.
Key Responsibilities
Administrative and Office Support
- Deliver letters and run official errands within and outside the office.
- Handle photocopying and ensure office equipment is functional.
- Receive visitors, manage front-desk activities, and direct guests appropriately.
- Report building damages or repair needs to the Finance/Admin Officer.
- Maintain visitor logs and ensure proper sign-in procedures.
Cleaning and Hygiene Duties
- Maintain high standards of cleanliness in offices and surroundings.
- Clean offices, common areas, and workspaces regularly.
- Safely manage office keys used for cleaning purposes.
- Request and manage cleaning materials and supplies.
- Return all cleaning items after approved use.
Store and Infection Prevention Support
- Support infection prevention and control activities.
- Assist in managing regional store operations.
- Issue approved stocks and maintain accurate documentation.
- Receive and record deliveries of commodities and SBC materials.
- Track distribution and collection of items from staff.
Documentation and Reporting
- Record usage of office stationery and toiletries.
- Maintain accurate administrative records.
- Perform other duties as assigned by supervisors.
Qualifications and Requirements
- Minimum of GCE O’Level / SSCE certificate.
- 2–5 years’ experience in office assistance, administration, or related duties.
- Strong organizational, communication, and time-management skills.
- Ability to work independently and as part of a team.
- Attention to detail and basic problem-solving skills.
- Proficiency in Microsoft Office tools.
- Ability to multitask in a fast-paced work environment.
- Prior administrative or office support experience is an added advantage.
