Grant & Sub-Contract Associate – Ensuring Compliance and Operational Integrity

Job Summary
We are seeking a detail-oriented and experienced financial professional to join our team, specifically focused on the administration and oversight of all grant awards, contracts, and sub-agreements. The successful candidate will be pivotal in monitoring compliance workflows, implementing robust management controls, and ensuring the seamless execution of funded projects under the ACE 5 initiative.
Key Responsibilities and Deliverables
The Grant & Sub-Contract Associate will play a central role in awards management, compliance, and systems administration:
1. Award and Sub-Award Management
- Administrative Oversight: Provide comprehensive administrative support for the full lifecycle of all grant awards, cooperative agreements, and sub-contracts, from initiation through close-out.
- Monitoring and Control: Actively monitor grant and sub-award documentation, tracking key milestones and workflows to ensure adherence to contractual agreements and internal organizational policies.
- System Implementation: Assist in developing, refining, and implementing internal systems and procedures designed to establish sound management controls and ensure full compliance with specific award terms and conditions.
2. Compliance and Donor Relations
- Regulatory Interpretation: Interpret complex funding regulations and guidelines issued by major institutional donors (such as USAID, CDC, Global Fund, etc.) and translate these into clear, actionable internal implementing procedures.
- Documentation Integrity: Ensure all official documentation related to sub-award agreements, modifications, and compliance checks is accurately maintained and readily accessible for audits and reporting.
- Audit Preparedness: Contribute to the overall organizational readiness for audits by maintaining high standards of data accuracy and procedural transparency across all grant files.
3. Reporting and Support
- Information Management: Utilize relevant software, including spreadsheet applications, database tools, and Management Information Systems (MIS), for accurate data tracking and reporting.
- Operational Support: Execute additional administrative and support duties as assigned by the Grant & Sub-Contract Officer to maintain the overall efficiency of the grants unit.

Educational Requirements
- A Bachelor’s Degree (B.Sc.) in Business Administration, Accounting, Finance, or a closely related quantitative field, coupled with a minimum of three (3) to four (4) years of relevant professional experience.
- OR a Master’s Degree (M.Sc./MBA) in a related discipline, combined with three (3) to four (4) years of highly relevant experience in a recognized Non-Governmental Organization (NGO) environment.
Required Technical Competencies
- Donor Regulations Expertise: Demonstrated working knowledge and practical experience with the contract, grant, and financial compliance requirements of major institutional donors (e.g., USAID, CDC, Global Fund, World Bank).
- Procedural Development: Proven ability to proactively interpret complex funding guidelines and successfully translate them into functional, operational, and financial implementation procedures.
- Software Proficiency: Advanced proficiency in relevant software tools, including robust spreadsheet management (e.g., MS Excel) and the use of database and Management Information Systems.
