Main Purpose of the position

Execute administrative and finance related tasks and follow up of accountancy to support the Mission Finance Manager following MSF standard and procedures, in order to ensure legal compliance and keep a strict control over monetary resources to achieve project objectives

General Accountabilities

  • Applying cash management procedures in order to ensure the highest control and security, assisting the Mission Finance Manager in the prevision of monthly treasury and planning in order to en-sure the coverage of weekly and monthly cash needs , etc.
  • Processing the payment to suppliers and keep strict on all documentation involved, informing the administration manager of any sort of disparity
  • Carrying out all accounting tasks and activities, classifying, preparing and filing of all accounting pieces in accounting software, in order to ensure strict control of all expenditures and the reliability of statements and documentation.
  • Following up of all expiring rental contract dates and inform the Finance Manager in order to leave enough time to arrange a renewal or look for some other alternative.
  • Any other administrative task delegated by the Mission Finance Manager.

Section/Context Specific Accountabilities

  • Process advances to staff and make payments to suppliers, daily workers, contractors while keeping strict on all documentation involved, informing the administration manager of any sort of disparity and report on any outstanding payments to ensure timely communication with affected individuals as necessary
  • Process the month end closure with Finance Manager along defined process by coordination and ensure deadlines are respected
  • Processing all bank transactions regularly and with complete supporting documents in order to ensure timely payment
  • In collaboration with HR assistant update the food-kitty cost and charge out to international staffs subaccounts on monthly basis
  • Follow with Finco assistant any statutary obligations, inform staff and ensure deductions and payments are made to relevant authorities as prescribed.
  • Support Finance Manager with submission of tax remittance and communication with tax office in Sokoto.
  • Filing of accounting documents and enter accounting pieces in the accounting software, with the support from the Finance manager
  • Ensure respect of and strict compliance to MSF standards 9chartof accounts, quality of docucuments, Authorization table, expense validation procedures, cash security ruless etc)
  • Prepare hardcopy documents according to month end checklist and ensure propoer filing of financial documentation, review the bookkeeping to ensure that the supporting documentation complies with the finance policy standards and ensure exception reports are completed as required
  • Support NERU project with cash transactions in the office and in the field if necessary
  • Manage the Petty cash safe
  • Manage staff airtime and ensure control of the monthly limit.

REQUIREMENTS & QUALIFICATIONS

Education Required finance, business or administration related diploma. Desirable – chartered accountant certificate.
Experience Essential previous working experience of at least two years in relevant jobs. Desirable experience in MSF or other NGOs in developing countries.
Languages English language and Hausa language essential
Knowledge Essential computer literacy (word, excel, internet)
Competencies Commitment to MSF principles, Teamwork and Cooperation, Behavioural Flexibility, Result and Quality Orientation, and Stress Management.
