Job Summary
The Finance Assistant will support day-to-day financial and accounting operations for Malaria Consortium’s Bauchi office, ensuring accurate documentation, proper record-keeping, and compliance with organizational financial procedures. The role provides clerical and accounting support to field and country offices while contributing to timely payments, filing, and financial reporting. The successful candidate will play a key role in maintaining financial order and supporting program delivery.
Key Responsibilities
Financial Operations
- Review financial transactions to ensure all documentation is complete, accurate, and properly approved.
- Prepare payment vouchers with correct budget classification and accounting codes.
- Verify attendance records and prepare payment schedules for program personnel and participants.
- Maintain orderly and up-to-date financial files, including vouchers, bank documents, and correspondence.
- Track stock levels of financial documents and request replenishment before shortages occur.
- Maintain an Excel-based payment journal and share weekly updates with the Finance Officer for posting.
- Scrutinize payment requests and advances in line with Malaria Consortium’s finance manuals and policies.
- Provide basic financial advice to project and technical staff, highlighting risks and possible solutions.
Supplier and Invoice Management
- Track invoices received from suppliers and service providers.
- Prepare supplier payment documentation and ensure required approvals are obtained before processing.
Documentation and Operations Support
- Scan, file, and archive all finance documents securely for easy access and audit readiness.
- Ensure financial documents are filed according to Malaria Consortium’s standard filing procedures.
- Track the movement of payment documents between field offices and the country office.
- Support audits, asset spot checks, and physical verification exercises when required.
- Carry out other finance-related duties as assigned by the Finance Officer, Accountant, or Finance Manager.
Required Skills and Competencies
- Good understanding of basic accounting and financial control principles.
- Strong proficiency in Microsoft Excel and other office productivity tools.
- Ability to manage multiple tasks, meet deadlines, and work with attention to detail.
- Good analytical, reporting, and documentation skills.

Qualifications and Experience
Essential
- Bachelor’s degree or Higher National Diploma (HND) in Accounting, Finance, Business Administration, or a related field.
- At least one (1) year post-graduation experience in a finance or accounts role, including a minimum of six months in a support function.
Desirable
- Previous experience working with an international non-governmental organization (INGO).
- Familiarity with accounting or financial management software.
- Knowledge of donor-funded project financial requirements.
