Finance & Admin Associate – MSH (Yobe)

In this role, you will be the guardian of financial transparency and the architect of logistical efficiency, ensuring that our technical teams have the support they need to deliver high-impact health solutions to the people of Yobe.

Job Summary

The Finance & Admin Associate provides indispensable accounting, administrative, and logistical oversight for the MSH Yobe State Office. You will manage daily financial transactions and administrative workflows, ensuring that every project activity is supported by meticulous planning and remains in strict compliance with MSH policies, donor regulations, and Nigerian law. Working closely with the Finance Officer, you will maintain the high standards of accountability that define MSH’s global mission.

Key Responsibilities

Financial Operations & Compliance

  • Manage the end-to-end payment cycle, including preparing vouchers and payment schedules for vendors, consultants, and project participants.
  • Ensure all state-level financial transactions are accurately coded and posted into QuickBooks with zero delay.
  • Oversee the timely management of tax payments (WHT, VAT) and ensure all other statutory obligations are met at the state level.
  • Lead the monthly reconciliation of vendor accounts and maintain accurate project activity tracking logs.
  • Support month-end and year-end closing processes, ensuring all financial documentation is audit-ready and compliant with internal controls.

Logistics & Activity Support

  • Coordinate all travel logistics, including secure hotel reservations and transport for staff and consultants visiting Yobe.
  • Manage the “Activity Profile” workflow, ensuring that all necessary materials, equipment, and catering for field activities are organized and ready for deployment.
  • Facilitate the procurement and engagement of local vendors, ensuring that the foundation of our supply chain in the state is ethical and efficient.
  • Oversee the dispatch of goods and equipment, managing waybills, packing lists, and shipping communications with precision.

Office Administration & Asset Management

  • Maintain a professional office environment, including workspace preparation for new employees and facility maintenance.
  • Take ownership of inventory and asset management, ensuring all project property is tracked, tagged, and protected.
  • Monitor and control the consumption of office resources (utilities, fuel, communication) to optimize project budgets.
  • Maintain a comprehensive and secure filing system for all administrative and accounting records.

Qualifications & Requirements

  • Academic Credentials: A Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Professional Experience: 2–4 years of hands-on experience in accounting and office administration.
  • Technical Mastery: Advanced proficiency in QuickBooks and Microsoft Excel is mandatory for this role.
  • NGO Context: Proven experience working within large, complex organizations; familiarity with international NGO (iNGO) standards is highly preferred.
  • Core Competencies: A solid understanding of core accounting principles, financial reconciliation, and internal control frameworks.
  • Soft Skills: Exceptional organizational ability, sharp attention to detail, and the ability to work effectively in high-pressure, field-based settings.
