We are seeking a meticulous and proactive Finance & Admin Associate to join our Plateau State team. In this role, you will be the operational cornerstone of our state office, ensuring that every financial transaction is transparent and every logistical detail is managed with precision, allowing our technical experts to focus on creating lasting health impact.
Job Summary
The Finance & Admin Associate provides indispensable accounting, administrative, and logistical oversight to the MSH Plateau State Office. You will manage daily financial workflows and office operations, ensuring that all activities adhere to strict organizational policies, donor guidelines, and Nigerian statutory regulations. Working in close coordination with the Finance Officer, you will maintain the high standards of accountability that enable MSH to close the gap between knowledge and action.
Key Responsibilities
Financial Accounting & Compliance
- Execute the end-to-end payment process, including preparing vouchers and payment schedules for vendors, consultants, and project participants.
- Ensure the rigorous and timely posting of all financial transactions into QuickBooks, maintaining accurate coding and documentation.
- Oversee state-level statutory obligations, ensuring that tax payments (VAT, WHT) and other government requirements are settled accurately and on time.
- Lead the reconciliation of vendor accounts and maintain up-to-the-minute project activity tracking logs.
- Prepare comprehensive monthly financial and administrative reports to support senior management decision-making.
Logistics & Activity Coordination
- Facilitate travel and accommodation logistics for staff, consultants, and partners visiting the state for project assignments.
- Coordinate the “Activity Profile” process, ensuring all materials, equipment, and catering required for field activities are organized and ready.
- Support the procurement unit in sourcing local vendors and managing the dispatch of goods, including the preparation of waybills and packing lists.
- Manage office calendars and conference room bookings, ensuring a seamless environment for meetings and workshops.
Office Administration & Asset Management
- Maintain a professional and efficient workspace, including facility maintenance and onboarding logistics for new employees.
- Take full ownership of inventory and asset management, ensuring all project property is accurately tracked and protected.
- Monitor and control the consumption of office utilities and resources (fuel, electricity, etc.) to ensure budget optimization.
- Maintain an impeccable filing system for all administrative, legal, and financial records.
Qualifications & Requirements
- Academic Foundation: A Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Professional Experience: 2–4 years of hands-on experience in accounting and office administration.
- Technical Mastery: Advanced proficiency in QuickBooks and Microsoft Excel is a mandatory requirement.
- Organizational Context: Experience working within large, complex organizations is required; previous experience with international NGOs (iNGOs) is highly preferred.
- Core Competencies: A solid understanding of double-entry accounting, internal control systems, and financial reconciliation.
- Soft Skills: Exceptional attention to detail, strong communication skills, and the ability to work effectively under pressure.
