Finance & Admin Associate – MSH (Ebonyi)

Job Summary

The Finance & Admin Associate provides critical accounting, administrative, and logistical support to the MSH Ebonyi State Office. You will manage the day-to-day financial transactions and administrative workflows, ensuring that every dollar is accounted for and every project activity is supported by flawless planning. Working closely with the Finance Officer, you will uphold the highest standards of compliance with MSH policies, donor regulations, and Nigerian statutory requirements.

Key Responsibilities

Financial Stewardship & Accounting

  • Manage the end-to-end payment process, including preparing vouchers and schedules for vendors, consultants, and project participants.
  • Ensure all financial transactions are accurately coded and posted into QuickBooks in a timely manner.
  • Oversee state-level tax compliance and the fulfillment of other statutory obligations on behalf of the organization.
  • Maintain rigorous project activity tracking logs and lead the preparation of monthly, quarterly, and year-end financial reports.
  • Lead the reconciliation of vendor accounts and ensure that all outstanding payments are resolved promptly.

Office Administration & Asset Management

  • Oversee the daily operations of the Ebonyi office, including workspace preparation for new staff and general facility maintenance.
  • Take full ownership of inventory and asset management, ensuring all equipment is tracked, tagged, and maintained.
  • Monitor and control the consumption of office resources (utilities, fuel, and communication) to ensure cost-efficiency.
  • Maintain a professional and secure filing system for all administrative, legal, and financial documentation.

Logistics & Activity Coordination

  • Facilitate the logistical needs for field activities, workshops, and official functions, including hotel reservations and catering services.
  • Coordinate the “Activity Profile” workflow, ensuring that all equipment and materials required for technical outreaches are ready and deployed.
  • Support the procurement unit in sourcing local vendors and managing the dispatch of goods, including the preparation of waybills and packing lists.
  • Manage office calendars and conference room bookings to ensure efficient use of space and resources.

Qualifications & Requirements

  • Academic Credentials: A Bachelor’s degree in Finance, Accounting, Business Administration, or a closely related field.
  • Professional Experience: 2–4 years of hands-on experience in accounting and office administration.
  • Technical Mastery: Advanced proficiency in QuickBooks and Microsoft Excel is essential for success in this role.
  • NGO Context: Proven experience working within large, complex organizations; familiarity with international NGO (iNGO) donor guidelines is highly preferred.
  • Core Competencies: A deep understanding of double-entry accounting, financial reconciliation, and internal control systems.
  • Soft Skills: Exceptional attention to detail, strong communication skills, and the ability to work effectively under pressure.
