Job Summary
The Purchaser is responsible for the daily procurement activities of the Akwa supply office. Your mission is to secure the best value for money for MSF by rigorously analyzing market sources, negotiating competitive pricing, and maintaining transparent supplier relationships. You will manage the end-to-end procurement process—from market assessment and quotation gathering to administrative filing—ensuring that all activities strictly adhere to MSF’s global standards of ethics and efficiency.
Key Responsibilities
Market Intelligence & Supplier Management
- Continuously scan the local market to identify new, reliable suppliers that meet MSF’s stringent quality and validation criteria.
- Maintain and update an exhaustive database of suppliers, items, and pricing, ensuring leadership is informed of any market fluctuations or availability issues.
- Negotiate with vendors to secure fixed-price agreements for short or long-term periods, maximizing the impact of every donor dollar.
Procurement & Negotiation
- Execute the purchasing cycle by obtaining multiple quotations and placing orders with pre-validated suppliers in accordance with MSF Purchasing Policy.
- Analyze Internal Requests (IRs) to identify opportunities for bulk purchasing, thereby improving cost-effectiveness and reducing logistical lead times.
- Ensure that every purchase is backed by accurate, professionally translated invoices and receipts that meet MSF accounting standards.
Administrative & Technical Excellence
- Manage all accounting and administrative procedures related to purchases, including the management of financial advances and the cross-checking of delivery notes against orders.
- Maintain a chronological, well-organized, and complete archive of all purchase files to ensure audit readiness.
- Collaborate closely with the Storekeeper to assist in the reception control process and ensure that goods received match the quality and quantity ordered.
Operational Support & Growth
- Cross-train in other supply chain functions, such as storekeeping, to provide critical backup and support during peak operational periods.
- Proactively improve lead times to meet the high satisfaction rates required by our medical and logistical stakeholders.
Required Qualifications & Experience
- Education: Essential Bachelor’s Degree (B.Sc.) in Purchasing and Supply Chain Management or a related field from a recognized institution.
- Experience: At least 2 years of professional experience in supply chain operations.
- NGO Experience: Prior experience working with MSF or other international NGOs in a developing country context is highly desirable.
- Integrity: A clean track record of ethical procurement and the ability to maintain transparency in a high-pressure environment.
