Job Summary

The Finance & Admin Associate provides comprehensive financial, administrative, and logistical support to the MSH Kaduna State Office. You will be the operational heartbeat of the office, ensuring that every transaction is accurately recorded in QuickBooks, every vendor is paid on time, and every project activity is supported by seamless logistical planning in strict accordance with donor and organizational policies.

Key Responsibilities

Financial Management & Compliance

  • Prepare accurate payment vouchers and schedules for vendors, consultants, and project participants.
  • Manage the timely posting of all financial transactions into QuickBooks, ensuring every entry is properly coded and documented.
  • Oversee state-level statutory obligations, ensuring tax payments and other government requirements are settled accurately and on schedule.
  • Maintain a rigorous project activity tracking log and lead the preparation of monthly financial reports for the senior management team.
  • Support month-end and year-end closing activities, ensuring full compliance with MSH internal control systems and donor guidelines.

Office Administration & Operations

  • Manage the Kaduna office environment, including inventory control, asset management, and workspace preparation for new team members.
  • Coordinate the “Activity Profile” process, ensuring all materials, equipment, and catering services required for field activities are organized and ready.
  • Control the consumption of office utilities and project resources (fuel, electricity, etc.) to ensure cost-effectiveness and zero waste.
  • Maintain an impeccable digital and physical filing system for all administrative and accounting records.

Logistics & Procurement Support

  • Coordinate hotel reservations and travel logistics for staff, consultants, and project participants visiting the state.
  • Support the procurement unit in engaging local vendors and managing the dispatch of goods, ensuring waybills and packing lists are accurately prepared.
  • Manage conference room bookings and provide high-level logistical support for workshops, seminars, and official functions.

Qualifications & Requirements

  • Academic Foundation: A Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Professional Experience: 2–4 years of hands-on experience in accounting and office administration. Familiarity with the operational standards of international NGOs is highly preferred.
  • Technical Skills: Advanced proficiency in QuickBooks and Microsoft Excel is mandatory.
  • Accounting Knowledge: A solid grasp of core accounting principles, including double-entry bookkeeping, tax compliance, and financial reconciliation.
  • Soft Skills: Exceptional organizational ability, sharp attention to detail, and a high level of personal integrity.
  • Operational Drive: Ability to handle multiple tasks simultaneously while adhering to strict deadlines and internal control protocols.
