Job Summary

The successful candidate will serve as the primary administrative anchor for the House of Gold Foundation, overseeing daily office operations and high-level clerical support. Your contribution will involve streamlining internal workflows, managing essential documentation, and ensuring that our professional correspondence reflects the integrity and dedication of our organization.

Core Responsibilities

  • Operational Management: Oversee all front-of-house activities, including managing incoming inquiries via telephone and email, and ensuring a welcoming professional environment for visitors and partners.
  • Documentation & Reporting: Draft and refine official documents, including project proposals, grant applications, and compliance reports to support our fundraising and legal standing.
  • Secretarial Support: Coordinate executive calendars, organize high-priority meetings, document comprehensive minutes, and track the progress of actionable items.
  • Resource Coordination: Maintain meticulous digital and physical filing systems, ensuring that sensitive data is archived securely and is easily accessible for audits or program reviews.
  • Logistics & HR Assistance: Facilitate travel arrangements for staff, assist in the onboarding process for new team members, and manage basic inventory and procurement records.
  • Digital Excellence: Master the organization of shared cloud platforms (Google Drive/OneDrive) to maintain version control and collaborative efficiency across the team.

Essential Qualifications & Skills

  • Education: A minimum of a National Diploma or Degree in Business Administration, Secretarial Studies, or a related social science field.
  • Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and experience managing collaborative cloud-based tools.
  • Communication: Exceptional written and verbal communication skills, with a specific ability to draft formal letters and professional proposals.
  • Organization: Proven ability to multitask in a fast-paced NGO environment while maintaining a high level of attention to detail.
