Job Summary
The Admin and Finance Volunteer provides essential daily support to our core office operations and financial accounting processes. In this dual-capacity role, you will contribute to maintaining an organized workplace while learning the intricacies of NGO financial compliance and logistics management.
Key Responsibilities
I. Administrative Support and Office Coordination
- Office Management: Assist in maintaining a professional office environment, including overseeing front-desk activities and managing shared workspaces.
- Filing Systems: Develop and maintain meticulous physical and digital filing systems for administrative records, correspondence, and project documents.
- Logistics & Procurement: Support the procurement process by organizing vendor quotes, assisting with bid analysis, and maintaining clear documentation for all equipment and supplies.
II. Financial Assistance and Record Keeping
- Bookkeeping Support: Assist the finance team with basic record-keeping, ensuring that all financial transactions are entered accurately and timely.
- Payment Processing: Support the processing of invoices, staff expense retirements, and daily payment vouchers in line with organizational policies.
- Asset Tracking: Maintain an updated inventory of all organization assets and supplies, conducting regular checks to ensure accountability for project materials.
III. Compliance and Professional Standards
- Policy Adherence: Ensure all administrative and financial tasks are performed in strict accordance with the Foundation’s internal controls and ethical guidelines.
- Audit Preparation: Help organize financial folders and administrative logs to ensure the office is always ready for internal or external reviews.
Requirements and Qualifications
- Educational Background: A Bachelor’s degree or Higher National Diploma (HND) in Accounting, Finance, Business Administration, or a related field.
- Technical Skills: * Mastery of the Microsoft Office Suite (specifically Excel and Word) is a mandatory requirement.
- A foundational understanding of basic accounting principles and office management best practices.
- Mindset and Ethics: * Unwavering integrity and a commitment to handling sensitive financial data with absolute confidentiality.
- Strong organizational skills with a high degree of attention to detail.
- A proactive willingness to learn NGO-specific compliance and reporting standards.
