Job Summary
The Project Assistant (DTM) provides critical administrative and operational support to ensure the successful implementation of displacement tracking activities. Reporting to the DTM Programme Officer, you will serve as a focal point for data compilation, budget monitoring, and inter-departmental coordination. Your contribution will directly enhance the IOM’s ability to provide high-quality, real-time information on internal displacement and migration trends in Abuja, Yola, and Maiduguri.
Key Responsibilities
Operational Support & Monitoring
- Activity Execution: Assist in the daily implementation and oversight of DTM project activities to ensure they meet organizational benchmarks.
- Data Synthesis: Retrieve, compile, and summarize information on specific migration topics, presenting data in clear, accessible formats for senior management.
- Status Oversight: Draft regular progress reports, proactively identifying delivery gaps or operational shortfalls for immediate supervisor review.
Financial & Administrative Coordination
- Budget Vigilance: Monitor project expenditures, verify fund availability, and process necessary approvals to maintain fiscal health.
- Inter-Agency Liaison: Coordinate administrative actions across diverse organizational units and external partners to secure clearances and follow up on pending requests.
- Records Management: Establish and maintain comprehensive filing systems and databases, responding to general inquiries with accuracy and speed.
Communication & Event Management
- Document Preparation: Create high-quality briefing notes, statistical tables, graphics, and presentations to support project advocacy.
- Logistics Oversight: Organize and facilitate workshops, training sessions, and stakeholder meetings, ensuring all logistical requirements are met.
Required Skills and Qualifications
Education & Experience
- Option A: A High School Diploma with at least four years of relevant professional experience.
- Option B: A Bachelor’s Degree in Political Science, International Relations, Social Sciences, Development Studies, or Law, coupled with two years of relevant experience.
- NGO Exposure: Prior experience working with the United Nations, international NGOs, or government institutions in a multicultural setting is highly preferred.
- Vulnerability Focus: Proven experience interacting with refugees, IDPs, victims of trafficking, or other vulnerable groups.
Technical & Soft Skills
- Subject Expertise: In-depth knowledge of migration issues and UN/bilateral donor programming.
- Financial Literacy: Familiarity with International Public Sector Accounting Standards (IPSAS) and general financial regulations.
- Digital Proficiency: Advanced skills in MS Office (Excel, PowerPoint, Word, Outlook).
- Communication: Exceptional English verbal and written skills; knowledge of local languages in the Northeast, Northwest, or North-central regions is a strong asset.
