Job Title: Logistics Officer

Section: Finance

Duration: 6 months 

Duty Station: Adamawa state (Madagali)

Reports to: Project Manager 

Start Date: Immediately

Purpose of Assignment:  

The Logistics Officer is responsible for managing the procurement, transportation, storage, and distribution of goods and services to support program operations. They ensure that supplies are sourced efficiently, delivered on time, and stored securely, while maintaining accurate records and compliance with organizational and donor policies. Their role is critical in enabling smooth program implementation by coordinating supply chains, managing fleet and warehouse operations, and supporting field teams with timely logistics solutions.

Core Purpose: To provide logistical and operational support to programs and staff, enabling timely and efficient delivery of humanitarian assistance and program activities.

Major duties and responsibilities:

1. Procurement & Supply Chain Management

• Plan, initiate, and manage all local and international procurements in line with the organization’s procurement policies.

• Prepare purchase requests, quotations, bid analysis, and purchase orders.

• Ensure transparent and competitive procurement processes in accordance with donor and organizational standards.

• Maintain updated vendor lists and conduct supplier performance evaluations.

• Track and follow up on purchase requests and ensure timely delivery of goods and services.

• Liaise with the Finance and Program teams to ensure proper budget coding and documentation.

2. Warehouse & Inventory Management

• Ensure proper storage, handling, and documentation of all stock items in warehouses.

• Maintain up-to-date stock records (bin cards, stock cards, and stock movement registers).

• Conduct regular physical inventory counts and reconcile with stock reports.

• Ensure timely dispatch and delivery of items to project sites, maintaining proper documentation (waybills, delivery notes).

• Implement and maintain effective systems for tracking and reporting stock movements.

3. Fleet & Transport Management

• Supervise the use and maintenance of organization vehicles, ensuring compliance with fleet policies.

• Schedule vehicle movements, track fuel consumption, and monitor mileage logs.

• Ensure vehicle logbooks are accurately completed and submitted monthly.

• Support drivers’ performance management and ensure safety standards are upheld.

• Coordinate transport arrangements for staff movement, visitors, and materials.

• Maintain relationships with transport service providers and ensure cost efficiency.

4. Asset & Equipment Management

•          Maintain an updated asset register of all organizational assets and equipment.

•          Tag all new assets and record them in the inventory database.

•          Support in asset tracking, maintenance, and disposal according to policy.

•          Conduct periodic asset verification exercises and report discrepancies.

•          Ensure IT and office equipment are maintained and functional.

5. Office & Facility Management

•          Support the maintenance and management of office buildings, guesthouses, and storage facilities.

•          Supervise cleaners, guards, and maintenance workers to ensure a safe and conducive work environment.

•          Ensure utilities (electricity, internet, water) are available and service contracts are up to date.

•          Manage office supplies, stationery, and other administrative materials.

6. Compliance & Reporting

•          Ensure adherence to internal control systems and compliance with donor and audit requirements.

•          Maintain proper filing and documentation of all logistics transactions (hard and soft copies).

•          Prepare monthly logistics reports (procurement tracker, fleet report, stock report, asset register).

•          Support internal and external audits by providing timely and complete documentation.

•          Identify and mitigate logistics risks, ensuring corrective actions are implemented.

7. Coordination & Support

  • Liaise closely with program, admin, and finance teams to forecast and plan logistics needs.
  • Support field teams in planning and executing distributions and project activities.
  • Represent logistics in coordination meetings and provide timely updates on logistics issues.
  • Build relationships with vendors, local authorities, and logistics clusters (if applicable).

  • Actively promote Child Safe Guarding standards within Sorasun Foundation and among the children we serve
  • Actively promote PSEA (prevention of sexual exploitation and abuse) standards within Sorasun Foundation and among beneficiaries
  • Adhere to the Code of Conduct, maintain humanitarian principles and respect humanitarian law at all times.
  • Adhere to the Adamawa state Health Crae Development Agency Code of Conduct, for health and nutrition at all times.
  • Adhere to the national protocols at all times
  • Performs any other duties and responsibilities assigned as appropriate to the purpose of this post, and  delivers the results as required.

Safeguarding

QUALIFICATION and COMPETENCIES (indicates the level of proficiency required for the job.)

EDUCATION & OTHER SKILL: A minimum of B.Sc. in Logistics/Administration or it equivalent

WORK EXPERIENCE: Three years of professional work experience in logistics or supply chain preferably in a humanitarian or development organization. Professional work experience in a project/program management function or a technical expert capacity in health or Nutrition care logistics

Field work experience:

•          Background/familiarity with Emergency.

•          Excellent communications skills, both oral and written

•          Excellent self-motivation skills

•          Demonstrated experience in procurement, fleet, and warehouse management.

•          Extremely flexible, and have the ability to cope with stressful situations and frustrations

•          Familiarity with donor procurement regulations.

•          Creativity and the ability to work with limited resources

•          Excellent decision-making skills

•          Strong understanding of procurement processes, documentation, and market analysis.

•          Ability to manage logistics databases, trackers, and reporting systems.

•          Computer literacy (MS Excel, Word, Outlook, ERP systems such as Navision or SAP).

•          Strong negotiation, communication, and time management skills.

•          Understanding of security and operational challenges in humanitarian contexts.

LANGUAGE PROFICIENCY: Fluency in English and local working language of the duty
