The Critical Role: Administrative Assistant, Procurement & Logistics
Based in Nigeria, this full-time role is the backbone of our operational efficiency. You will be instrumental in ensuring that our field teams have the resources they need, when they need them, allowing our global experts to focus on providing life-changing relief and development services.
Your core mission is to support daily office operations by ensuring the timely, transparent, and cost-effective procurement and delivery of all goods and services, adhering strictly to organizational and donor guidelines.
What You Will Be Doing (Key Responsibilities)
This multifaceted position requires a proactive approach across three vital areas:
1. Procurement & Financial Support
- Assist in the full procurement cycle, from collecting purchase requisitions to preparing and soliciting quotations via RFQs/RFPs.
- Conduct and prepare detailed bid analysis and comparison sheets.
- Ensure rigorous compliance with all organizational and donor procurement guidelines.
- Maintain the crucial vendor database and support the timely processing of vendor payments, liaising closely with the Finance team.
- Track purchase status and update the procurement tracker to ensure transparency.
2. Fleet & Travel Logistics
- Manage our fleet: schedule vehicle usage, track movement, mileage, and fuel consumption to maximize efficiency.
- Coordinate routine vehicle maintenance and repairs.
- Handle domestic and international travel logistics for staff, consultants, and visitors (flights, accommodation, and documentation).
- Maintain strong relationships with external travel partners to secure competitive rates and reliable service.
- Provide logistical planning for larger events like training sessions, workshops, or field missions.
3. General Administration
- Ensure the smooth functioning of the office, including maintaining equipment and managing the filing of critical documents.
- Oversee the inventory, distribution, and consumption monitoring of all office supplies, stationeries, and generator consumables (diesel, engine oil).
- Provide general support to various staff and departments, ensuring an efficient and positive workflow environment.
Who We Are Looking For (Requirements)
We seek a highly capable individual who shares our dedication to service and operational excellence.
Essential Qualifications:
- A First Degree in Business Administration, Social Sciences, or a related field.
- 1–3 years of hands-on Administrative/Procurement experience, with preference given to candidates familiar with the INGO (International Non-Governmental Organization) sector.
- Proven experience in documentation, effective filing, and database management.
- Proficiency in Microsoft Office and other relevant software.
Skills & Mindset:
- Excellent written and verbal communication skills.
- A collaborative, team-oriented work style, coupled with the self-motivation and drive to manage tasks independently.
- An understanding of international faith-based organizations and the relief and development sector is highly valued.
