Job Summary
Malaria Consortium is seeking highly ethical and organized Finance Assistants to provide essential accounting and administrative support across our various field offices (Plateau, Borno, Kebbi, Kogi) and the Country Office (Abuja). The successful candidates will be responsible for executing clerical work, maintaining meticulous financial records, and ensuring the timely and compliant filing of all transactions, supporting both State and Country Office Finance Officers.

Key Responsibilities and Deliverables
The Finance Assistant will provide mission-critical support, focusing on accurate transaction processing, documentation, and compliance.
1. Core Financial Processing and Verification (50%)
- Transaction Scrutiny: Review all financial transaction requests (PVs, TAFs, PRFs) to ensure absolute completeness of documentation and adherence to the MC Manual, policies, and procedures, thereby safeguarding organizational resources.
- Payment Preparation: Prepare accurate payment vouchers, ensuring precise cost classification and coding for every expenditure, and manage the preparation of payment schedules for participants of SMC personnel, meetings, and consultants based on verified databases.
- Cash Flow Support: Track the stock balance of financial documents (vouchers, forms, receipts) and initiate timely orders to prevent operational disruptions.
- Reporting and Advice: Maintain an updated Excel journal template for recording all completed payments and share weekly with the Finance Officer for posting, while also advising management on financial matters and providing suggested solutions within scope.
2. Supplier Invoice Management (15%)
- Tracking: Maintain a systematic tracking system for all supplier and vendor invoices received by the finance department.
- Processing: Prepare and facilitate all necessary documentation for invoice payments, ensuring prompt processing and obtaining requisite approvals from authorized personnel.
3. Operations Support and Archiving (30%)
- Records Security: Oversee the scanning, systematic filing, and secure archiving of all financial documents (vouchers, bank information, financial correspondence) to ensure they are easily accessible by the finance team and stored in compliance with the Finance Manual.
- Document Flow: Maintain an accurate log for tracking the transit of payment documents between the field offices and the Country Office in Abuja.
- General Duties: Perform other duties as required, including assisting with asset spot checks, physical verification, and providing documents for audit preparation.
Professional Qualifications and Experience
Education
- A Bachelor’s degree or Higher National Diploma (HND) in Accounting, Finance, Business Administration, or Social Sciences is essential.
Experience
- A minimum of one (1) year of post-graduation experience working within a finance team.
- At least six (6) months of dedicated experience in a Finance or Accounts support role (clerical or technical).
- Experience working with an International Non-Governmental Organization (INGO) is considered a strong advantage.
Skills & Attributes
- Excellent computer skills, particularly a high proficiency in Microsoft Excel, and good analytical and reporting skills.
