The Role: Assistant Records Management Officer (Kebbi)

We are seeking a proactive and skilled Assistant Records Management Officer to join our team in Kebbi. Under the supervision of the Record Manager, you will be instrumental in implementing the Mission’s records management policy across all departments (Medical, Logistics, Finance, HR, etc.), ensuring the integrity, accessibility, and conservation of all current, intermediate, and historical documents.

Key Duties and Responsibilities

Your main duties will involve both physical and digital records management:

  • Archiving & Digitization: Execute monthly physical and electronic archiving of all mission accounting and vital documents. Digitize vital documents and maintain their authenticity.
  • System Maintenance: Update scanned documents and parts on validated platforms (e.g., SharePoint, Teams, OneDrive) for current access, and utilize the Nestor archiving system.
  • Policy Implementation: Assist in the implementation of MSF’s physical and electronic archiving management policy, managing document transfers, disposals, and collection awareness.
  • Training & Support: Organize and conduct regular training sessions for employees on records management and archival tools (Teams, SharePoint, Nestor).
  • Information Retrieval: Manage document applicants, register needs, provide assistance with research, and ensure documents are communicated according to legal and archival rules.

Essential Skills and Qualifications

Category Requirements
Education Bachelor’s degree in Library and Information Science, Records and Archives Management, Information Management, or Documentation and Communication Studies.
Experience Minimum of 2–3 years of progressive experience in records management, archiving, or documentation administration, preferably within an NGO or international organization.
Technical Knowledge Proven proficiency in using digital collaboration and archiving tools such as SharePoint, Teams, OneDrive, and Nestor. Strong knowledge of information governance, data protection, and archival standards.
Translation C1 independent user of the mission’s working language.
