About the job
- The Admin Officer will be responsible for providing administrative and operational support to ensure the smooth running of EYN Projects’ field office.
- The role involves managing office systems, supporting logistics, maintaining records, and ensuring compliance with organizational policies and procedures.
- He/she will work closely with program, finance, and logistics teams to support efficient service delivery and maintain a well-organized working environment.
Main Responsibilities
The Admin Officer’s primary responsibilities include the following:
- Manage day-to-day administrative operations of the field office;
- Maintain proper filing systems (both physical and electronic) for administrative documents;
- Coordinate office supplies, ensure timely procurement, and maintain inventory records;
- Support logistics arrangements including travel, accommodation, and meeting coordination;
- Prepare and manage administrative documentation such as letters, memos, and reports;
- Ensure proper maintenance of office facilities, equipment, and utilities;
- Track asset management and maintain updated asset registers;
- Support HR functions such as staff attendance records, leave tracking, and onboarding logistics;
- Coordinate internal and external meetings, workshops, and trainings;
- Ensure compliance with organizational administrative policies and procedures;
- Provide support during audits and ensure proper documentation is available;
- Liaise with vendors, service providers, and relevant stakeholders;
- Ensure office safety, cleanliness, and a conducive working environment;
- Maintain confidentiality and integrity in handling organizational information;
- Participate in administrative and program meetings as required.
Qualification and Experience
- Bachelor’s degree in Business Administration, Public Administration, Management, or related field;
- 2–4 years of relevant administrative experience, preferably in humanitarian or development organizations;
- Experience in office management, logistics coordination, and administrative systems;
- Familiarity with donor-funded project environments is an added advantage;
- Strong organizational and time management skills;
- Proven ability to work in a fast-paced and challenging environment.
Knowledge and Skills:
- Strong administrative and organizational skills;
- Proficiency in Microsoft Office (Word, Excel, PowerPoint);
- Good communication and interpersonal skills;
- Ability to manage multiple tasks and prioritize effectively;
- Strong attention to detail and problem-solving skills;
- Ability to maintain confidentiality and professionalism;
- Team player with the ability to work independently;
- Fluency in English (written and spoken); knowledge of Hausa and/or Kanuri is an advantage.
